JOB DESCRIPTION: ACCOUNTING SPECIALIST
General Statement of Duties: Serves as the specialist for the Accounting Department and performs related work as required.
Distinguishing Features of the Class: The employee performs and maintains a caseload of the litigant accounts in the office. Office procedures are governed by statute and must be executed accordingly. The work is performed under the direct supervision of the Accounting Supervisor and the general supervision of the Friend of the Court according to policy and procedure.
Examples of Work: (Illustrative only)
- Maintain individual/employer information.
- Enter new order information within 3 days of receipt
- Adjust accounts accurately for previously ordered changed/ allowance, i.e. parenting time, abatements, medical demands, court costs, etc., within 5 days of receipt.
- Terminate charges when child graduates/reaches appropriate age or otherwise emancipates.
- Request refunds from FIA/Treasurer as needed pursuant to procedure.
- Initiate/modify/terminate income withholding orders to accurately reflect orders.
- Prepare and close cases that fall within the guidelines of the SCAO on a regular basis.
- Respond to all account inquiries to litigants within 4 days of receipt.
- Notify parties in writing of account changes, as needed.
- Enter case notes of work on a case, i.e. phone calls, adjustments, etc.
- Forward to Accounting Supervisor any orders transferring cases.
- Work MHIS/SLOG mismatch and other reports as assigned.
- Ability to enter cases into MiCSES as assigned.
- Mandated reading of updated MiCSES release notes applicable to position.
- Any other duty as assigned by supervisor or FOC
At all times, demonstrate a willingness and ability to treat litigants with dignity and respect; maintain a positive attitude and collaborate with other employees and agencies to provide excellent service; show good judgment, tact and courtesy to others. Possess the ability to accept change in duties or office policies and practices based upon the needs of the Court.
Must have the ability to sit and stand for prolonged periods of time, lift weight of up to 50 pounds, stoop, bend, reach and turn while performing duties at a desk. Adequate visual acuity with corrective lenses for reading a computer screen. Adequate hearing comprehension to use the phone and answer questions.
Ability to communicate by telephone with litigants and counsel, and physical ability to operate office equipment as required.
Acceptable Experience and Training: Completion of a minimum associate degree in accounting preferred or any equivalent combination of accounting experience and training which provides the required knowledge, skills and abilities. Basic knowledge of English and grammar; ability to follow complex oral and written directions.
